How to evaluate

Five questions worth asking any vendor

Does the billed kilometre come from the vehicle, or from a form?

If the odometer is typed into an office screen after the fact, disputes are inevitable. Look for capture at the point of service, on the driver's device, with the passenger present.

Can it price the way you actually sell?

Local packages, outstation per-day minimums, airport transfers and monthly corporate contracts price differently. A system that only does one of them will push the rest back into spreadsheets.

Does a trip become an invoice without re-keying?

The gap between operations and billing is where margin leaks. Ask to see a completed duty become a tax invoice without anyone copying a number.

Is it built for Indian statutory reality?

GST tax invoices need a consecutive serial under Rule 46, e-invoicing applies above turnover thresholds, and TDS is withheld on sub-contractor payments. Retrofitting these is painful.

What happens when you sub-contract?

Most operators buy duties in when demand spikes. The vendor's cost, the partner's invoice and the TDS deduction all have to land somewhere, or the true margin on that trip is unknown.
