GST invoice format for cab and car rental operators: free Excel and PDF
A free GST tax invoice format for cab, taxi and car rental operators in India. See the layout on this page, then download the cab invoice format in Excel with the totals worked out, or a print-ready PDF. The tax rate is left for you to fill in. General information only, not tax advice.
What does a GST cab invoice format need to have?
A GST tax invoice format for a cab or car rental operator needs a place for the supplier's name, address and GSTIN, the recipient's name, address and GSTIN if registered, a consecutive invoice number and the invoice date, the place of supply with the State, a line for each service with its SAC and taxable value, the tax split into CGST and SGST or into IGST with the rate and the amount, the invoice total, the amount in words and a signature. The format on this page has each of those, and leaves the rate blank because the rate that applies depends on your service and your registration.

The fields on the cab invoice format
These are the fields the format carries and what a cab or car rental operator writes in each. For the rule behind each field, read the guide to the GST invoice for cab operators.
- Supplier name, address and GSTIN
- Your registered name, the address of the registration you are billing from, and its GSTIN with the State and State code.
- Invoice number and date
- A number from one consecutive series for the financial year, not reused, and the date the invoice is issued.
- Recipient name, address and GSTIN
- The client you are billing. Write the GSTIN if the client is registered: a registered client needs it on the invoice to claim credit.
- Place of supply
- The State, with its code, where the service is treated as supplied. Compared with your own State, it decides which taxes the invoice shows.
- Reverse charge
- Whether tax on this invoice is payable by the recipient under reverse charge. Mark Yes or No as your accountant advises for the service.
- Description of service
- One line per duty or per group of duties: the date, the vehicle, the duty type and the duty slip number, so the client can match the bill to the slips.
- SAC
- The Services Accounting Code for the service on that line. Take it from your accountant or from your GST registration and use it consistently.
- Quantity, unit and rate
- How the line is priced: duties, days, hours or kilometres, and the rate for each.
- Taxable value
- Quantity multiplied by rate, less any discount. The Excel file works this out on each line and adds the lines up.
- CGST and SGST, or IGST
- The rate and the amount of each tax. A supply within your State shows CGST and SGST, or UTGST in a Union territory. A supply to another State shows IGST. The rate is yours to fill in.
- Round off and invoice total
- The adjustment to the nearest rupee and the amount the client pays.
- Amount in words
- The invoice total written out, as clients' accounts teams expect.
- IRN
- The Invoice Reference Number, where e-invoicing applies to you. The IRN and its QR code come from the e-invoice portal, not from a template.
- Bank details, terms and signature
- Where to pay, when payment is due, and the signature or digital signature of the authorised signatory.
How to use the cab invoice format in Excel
Fill in your own details once and save the file as your master. For each invoice, type the invoice number and date, the client, the place of supply and one line per duty or group of duties. Type the quantity, the unit and the rate on each line and the sheet works out the taxable value. Then type the tax rate that applies: in the CGST and SGST cells for a client in your own State, or in the IGST cell for a client in another State, never both. The sheet works out the tax, the round off and the invoice total.
The amount in words is typed by hand, because Excel has no built-in function that writes rupees in words. Keep the invoice numbers in one unbroken series, and raise a credit note when a bill has to change after it has gone out instead of editing the original.
Why this format does not fill in a GST rate
GST on passenger transport and on renting a vehicle with a driver depends on how the service is classified and on whether the operator takes input tax credit, and some supplies to companies fall under reverse charge. The rate schedule was revised with effect from 22 September 2025. A template that printed a percentage would be right for some operators and wrong for others, so the rate here is a blank you fill in from the current notification on the CBIC tax information portal, linked below, with your chartered accountant.
This page gives you the format. The rule is explained in our guide to the GST invoice for cab operators: what Rule 46 asks a tax invoice to show, how place of supply decides between CGST and SGST and IGST, when an e-invoice IRN is needed and how TDS deducted by a client is recorded.
From a template to invoices raised from the duty slip
A template works while invoices are few. As the count grows, the weak points are the same for every operator: a serial number used twice, a place of supply typed wrongly, a month of duty slips typed line by line, and a receipt that does not show the TDS the client deducted.
MobilityDrive raises the tax invoice from the duty slip. Invoices are numbered in sequence for the financial year, the supplier and recipient details with State and State code come from your records, the tax is split by place of supply into CGST and SGST or IGST at the rate you have set, and the totals print with the amount in words. A month of duties for one client can go on one invoice, an IRN and QR code are added through the e-invoice connector you configure, and sales and receipts export to Tally. See transport billing software and fleet billing, and start from the duty slip format if you are still setting up the paperwork.

This template is general information, published in October 2026. It is not tax or legal advice and it fills in no tax rate. GST cab invoice format: frequently asked questions
Is this GST invoice format for cab operators free?
- Yes. The Excel and PDF files are free to download and use, with no sign-up. They are a general format and not tax advice.
Which fields must a cab tax invoice format have?
- Supplier name, address and GSTIN, recipient name, address and GSTIN if registered, a consecutive invoice number and date, place of supply, the SAC and description of each service, taxable value, CGST and SGST or IGST with rate and amount, the total, the amount in words and a signature.
What GST rate should I put on a cab invoice?
- This format leaves the rate blank. The rate depends on how your service is classified and whether you take input tax credit, and the schedule was revised with effect from 22 September 2025. Read the current rate from the CBIC notification with your chartered accountant.
When do I fill in IGST and when CGST and SGST?
- Fill in CGST and SGST when the place of supply is in your own State, or UTGST in a Union territory. Fill in IGST when the place of supply is in another State. An invoice shows one or the other, not both.
Can I use this format for car rental with a driver?
- Yes. The layout suits local packages, outstation duties, airport transfers and monthly car hire with a driver: describe the duty on each line and use the SAC and rate your accountant gives you for that service.
Does the Excel file write the amount in words?
- No. Excel has no built-in function for rupees in words, so that field is typed. MobilityDrive prints the amount in words on its invoices automatically.
Does this template create an e-invoice with an IRN?
- No. An IRN and its QR code are issued by the e-invoice portal. The template has a place to write the IRN. MobilityDrive generates the IRN through the e-invoice connector you configure.
