Taxi and cab fleet software for operators in India

MobilityDrive is taxi and cab fleet software for Indian operators who run booked duties: local packages, outstation trips, airport transfers and monthly corporate cabs. Bookings, dispatch, the driver app, the duty slip, the GST tax invoice and the Tally voucher sit in one system.

What is taxi and cab fleet software?

Taxi and cab fleet software is the system a cab operator uses to take a booking, allot a car and a driver, follow the trip, record the duty slip and raise the bill. For an operator in India it also has to produce a GST tax invoice, keep the receivable and hand the figures to the accountant. MobilityDrive covers that whole chain for operators who run booked duties with their own cars and attached vendor cars. It is not a ride-hailing marketplace and it does not run a street-hail fare meter.

What is in it

From the booking call to the GST invoice

  • Bookings in one list

Bookings from your own team, the corporate client portal, the customer app and your website booking API land in one list, and a bulk import loads many at once. Local, airport, outstation, transfer and monthly duties are separate duty models.

  • Dispatch with clash and document checks

The dispatch board shows every duty with its state. When you allot a car and a driver, a clashing duty, a lapsed permit, fitness certificate, PUC, insurance or driving licence, and a driver on leave are flagged or refused.

  • Driver app with duty slip

The driver sees the duty, starts and ends it, and records opening and closing kilometres, tolls and parking on the phone. The passenger confirms, or approves the duty slip from a link sent by WhatsApp, SMS or email.

  • Packages, extra kilometres and allowances

Fares come from packages of hours and kilometres with extra kilometre and extra hour rates, per-day kilometres for outstation, garage-to-garage billing where the duty type calls for it, and driver allowances such as night and outstation.

  • GST tax invoice

A tax invoice laid out to Rule 46 of the CGST Rules: consecutive serial per financial year, GSTIN and State of both parties, place of supply, SAC, taxable value, and CGST and SGST or IGST with rate and amount. An IRN and QR code are added through the e-invoice connector you configure.

  • TDS, receivables and Tally

A receipt records the TDS the client deducted, ageing shows who is late, and sales, receipts, purchases, payments and journals export to Tally as vouchers with your own ledger names.

Cab fleet management software built around the duty

A cab operator in India does not sell a ride. The operator sells a duty: a car and a driver committed for eight hours and eighty kilometres, for an airport drop, for a three-day outstation trip or for a month at a client's office. Cab fleet management software earns its place when every one of those duties has one record that the dispatcher, the driver and the accountant all work from.

In MobilityDrive a duty begins as a booking, is allotted on the dispatch board, is run and recorded in the driver app and ends as a line on a GST invoice. The same record carries the vehicle, the driver, the kilometres and the extras all the way through, so nobody retypes the duty slip at month end. The dispatch part is described in detail on the fleet dispatch software page. If you still run on paper, start with our free duty slip format in Excel, PDF and Word, and the cab fare calculator for quoting a duty.

Taxi dispatch software for own cars and attached cars

Most Indian cab operators run a mix of their own cars and attached cars from vendors and owner-drivers. A duty in MobilityDrive can be allotted to your own fleet or to a vendor, the vendor's cost stays against the trip, and vendor bills and payables are kept with TDS under section 194C tracked on vendor payments. You can switch on auto-allocation, which allots a car and a driver together from your own fleet, spreads duties across drivers and falls back to a vendor if you allow it. A dispatcher can always allot by hand.

Vehicle documents are tracked with expiry dates: permit, national permit, fitness, pollution (PUC), road tax, speed governor and insurance. An expired document stops an allotment unless your company policy allows an override, which is how a lapsed permit is caught in the office instead of at a checkpost. See fleet management software for the registry.

GST billing for cab operators: CGST, SGST, IGST and e-invoice

The invoice splits CGST and SGST, or IGST, from the place of supply, with UTGST in a Union territory. The GST rate comes from your company and client settings, because the rate on passenger transport depends on the service you supply and on whether you take input tax credit. Credit and debit notes are numbered separately and refer to the invoice they adjust. GSTR-1 and GSTR-3B workings are produced on screen from the posted invoices with a JSON export, and you or your accountant file the return.

Where e-invoicing applies to your turnover, an IRN and signed QR code are generated through the e-invoice connector you configure with your own credentials, one invoice at a time or in bulk. We explain the rule in plain words in our guide to the GST invoice for cab operators, and the full billing flow is on the transport billing software page.

Who this cab software is for, and who it is not for

It fits tours and travels companies, rent-a-cab operators, airport taxi operators and corporate cab vendors anywhere in India, from a single-city fleet to an operator with branches in several States. Operators who move staff for companies should read the page on employee transport management software in India, and car rental software for chauffeur-driven fleets covers the rental angle.

It is not built for metered street-hail taxis, for a consumer ride-hailing marketplace that matches riders with nearby drivers, or for self-drive rental. There is no fare meter and no link to any transport authority: permits and licences are tracked as documents with expiry dates, not verified with the RTO.

Published plans for operators in India start from 2,500 rupees a month for dispatch, with higher plans that add GST e-invoicing and corporate billing, plus a small per-duty charge. The pricing page has the current plans. City pages for Mumbai, Delhi NCR, Bengaluru, Hyderabad, Pune and Chennai describe the local work.

Taxi and cab fleet software in India: frequently asked questions

What is the best way to manage a cab fleet in India with software?

Keep one record per duty. The booking, the allotted car and driver, the duty slip with kilometres and tolls, the GST invoice and the receipt should all be the same record seen by different people. MobilityDrive is built that way, so the dispatcher, the driver and the accountant do not retype each other's work.

Does the cab software raise GST invoices with CGST, SGST and IGST?

Yes. The tax invoice follows Rule 46 of the CGST Rules, with a consecutive serial per financial year, the GSTIN and State of both parties, place of supply, SAC, taxable value and CGST and SGST or IGST by place of supply. Credit and debit notes are issued as their own documents.

Can it generate an e-invoice IRN for a cab invoice?

Yes, where e-invoicing applies to your turnover. An IRN and signed QR code are generated through the e-invoice connector you configure with your own credentials, and both print on the invoice. MobilityDrive is not itself an invoice registration portal.

Does it handle TDS deducted by corporate clients?

Yes. When a client pays after deducting TDS, the receipt records the amount received and the TDS separately, and both count towards settling the invoice. TDS under section 194C on your own payments to vendors is tracked as well.

Can drivers use it on their phones?

Yes. The driver app shows duties, records the duty slip with odometer, tolls and parking, and is available in English, Hindi and Arabic. The apps are built: the Android apps are in Google Play review and the iPhone apps are not yet published, so ask us for the current build.

Is this a taxi meter or a ride-hailing app?

No. It is the back office and dispatch system for an operator that sells booked duties to customers and companies. It has no fare meter and does not match riders to nearby drivers the way a consumer ride-hailing app does.

How much does cab fleet software cost in India?

Published plans for operators in India start from 2,500 rupees a month for dispatch, with higher plans that add GST e-invoicing and corporate billing, plus a small per-duty charge. The pricing page has the current plans.
