How it works

From a completed trip to money in the bank

1. The duty is recorded

On the driver's phone: opening and closing odometer, tolls, parking and the passenger's confirmation. This is the evidence the invoice rests on.

2. The trip is priced

From the client's contract: per-kilometre, per-hour or package tariff, plus extras. The client's credit days and default discount apply unless the operator typed something different.

3. The invoice is raised

Under the company's tax regime: GST in India, VAT in Saudi Arabia. Numbered in sequence, carrying the vehicle, driver and duty slip number.

4. Money is collected

Receipts are matched to invoices, ageing shows who is late, and overdue reminders go out on a schedule. Credit and debit notes correct an invoice without editing it.

5. Accounts are updated

Postings feed profit and loss and the tax workings, and sales and receipts export to Tally as vouchers.

Transport billing software: what it has to get right

Transport billing is hard for one reason: the quantity being sold (kilometres, hours, waiting, tolls) is created on the road by someone other than the person who writes the invoice. Transport billing software earns its place if it moves that information from the vehicle to the invoice without retyping, because every retyped number is a possible dispute.

MobilityDrive starts from the duty. The driver records it on the phone, the contract prices it, and the invoice line carries the vehicle, the driver and the duty slip number. Fleet billing software for chauffeur, rental and employee transport work

Different transport businesses bill differently. A chauffeur company bills per duty, a rent-a-cab operator bills packages and extra kilometres, and an employee transport provider bills a monthly contract. All of them need the same base: a contract tariff, a recorded duty and a numbered tax invoice. Corporate clients can book and approve in the client portal, so the booking, its approval and its price are already agreed before the trip runs.

Quotations are part of billing too. A quotation can be priced per line, with trip details on a line, and a quotation line with a pickup time and place can become a booked trip once the client accepts.

Receivables: ageing, statements and reminders

Sending the invoice is half the job. MobilityDrive tracks receivables per client with ageing buckets, produces statements of account, and can send overdue reminders on a schedule. Receipts are recorded against the invoices they settle, and Razorpay can collect payments online for operators in India, settling the invoice when the gateway confirms.

Tally export and your accountant

Most transport operators in India keep their books in Tally. MobilityDrive does not replace it: sales, receipts, purchases, payments and journals export as Tally vouchers using your own ledger names, and a masters file creates the ledgers a voucher refers to. What is transport billing software?

It is software that turns completed transport duties into invoices and tracks the money owed. For a transport operator that means pricing a trip from a contract, raising a tax invoice, recording receipts and chasing overdue accounts. MobilityDrive does this from the duty slip the driver records.

How is fleet billing software different from general accounting software?

Accounting software records money after it has been invoiced. Fleet billing software works earlier: it holds the duties, the vehicles and the client contracts, so the invoice is generated from what happened on the road. MobilityDrive posts to a ledger and exports to Tally, so your accountant keeps their tools.

Does it support GST invoicing and e-invoicing in India?

Yes. Invoices carry a consecutive serial per financial year and split CGST, SGST and IGST by place of supply. An IRN and QR code are generated through the e-invoice connector you configure, and GSTR-1 and GSTR-3B workings come from your posted invoices.

Does it support VAT and ZATCA e-invoicing in Saudi Arabia?

Yes, with a limit you should know about. A Saudi company invoices in SAR at 15% VAT, and the ZATCA Phase 2 integration signs and submits documents. It has been tested against ZATCA's developer sandbox, going live needs your own ZATCA credentials, and we do not claim ZATCA certification. This is not legal or tax advice.

Can it send quotations?

Yes. A quotation can be priced per line and emailed, and a line with a pickup time and place can become a booked trip once it is accepted.

Can I export to Tally?

Yes. Sales, receipts, purchases, payments and journals export as Tally vouchers with your own ledger names, plus a masters file for the ledgers. It is an export, not a live two-way sync.

Can it track overdue payments?

Yes. Receivables show ageing buckets by client, statements of account and scheduled overdue reminders, and receipts are matched against invoices.
