Chauffeur, limousine and black car operators

Chauffeur and limousine software for operators who sell punctuality

MobilityDrive is chauffeur and limousine software for operators in India, Saudi Arabia and the UAE: reservations, black car dispatch, a chauffeur app, airport transfers with flight tracking, a passenger app, corporate accounts and tax invoices under GST or VAT.

What is chauffeur and limousine software?

Chauffeur and limousine software, often called limo software or black car dispatch software, is the reservation and dispatch system of a company that sells cars with professional drivers. It takes the reservation, assigns the right car and chauffeur, watches the flight for an airport pickup, tells the passenger who is coming, records the journey and bills it. MobilityDrive covers that chain and continues into the accounts: the duty slip, the tax invoice, the receivable and the export to your accountant.

What is in it

Built for chauffeur work, from reservation to invoice

  • Reservations with client notes

Each booking carries the passenger, the client company, the car class and the instructions. Clients can be tagged, for example as VIP, and notes on the booking are shown to the dispatcher and the chauffeur.

  • Black car dispatch

A dispatch board lists every duty with its state. Allotment checks for a clashing duty, a lapsed vehicle or driver document and a chauffeur on leave, and SLA rules raise a breach when a duty is unallotted close to pickup or starts late.

  • Flight tracking for airport transfers

Flights on your bookings are refreshed automatically through a flight data provider (AviationStack or AeroDataBox) on your own key. Dispatch is alerted when a flight is late, cancelled, diverted or landed, and sees a recommended pickup time.

  • Chauffeur app

The chauffeur sees the duty and its notes, starts and ends the journey, records kilometres, waiting, tolls and parking, and takes the passenger's confirmation on the phone. The driver app is available in English, Arabic and Hindi.

  • Passenger app and tracking link

A passenger can book with a fare estimate, follow the car and approve the duty slip in the customer app, or simply open a tracking link in a browser. Trip notices can go out from your own WhatsApp Business account.

  • Corporate accounts

Contract rates, a client portal with approval rules, monthly invoicing, statements of account and ageing for hotels, travel desks and corporate clients.

Limo software that knows an airport pickup is different

An airport transfer is the trip a limousine company is judged on, and it is the one trip where the schedule belongs to the airline. In MobilityDrive the flight number sits on the booking. The flight is looked up when the booking is made and refreshed as it approaches, the airport board shows its status with a recommended pickup time worked out from the latest landing time and your buffer, and dispatch is alerted when the flight is more than 20 minutes late (you set the threshold), cancelled, diverted or landed. Dispatch decides whether to move the duty.

Meet and greet is priced as its own line, airport zones can be drawn on the map so arrival and waiting are timestamped, and the waiting time recorded on the duty feeds the invoice. Flight data needs your own key with the provider. The detail is on the airport transfer software page, and our guide to airport transfer software and flight delays sets out five checks for every pickup.

Black car dispatch software: the right car and the right chauffeur

Chauffeur dispatch is a matching problem with consequences. The car has to be the class that was sold, the chauffeur has to be free, rested and legally able to drive, and the client's preferences have to reach the person behind the wheel. The dispatch board works from one list of duties, checks each allotment against the day's other duties and against document expiry dates, and shows overdue duties until they are closed. Optional auto-allocation allots a car and a chauffeur together and keeps a chauffeur with their own car when it is free.

The full dispatch picture, including SLA rules, SOS alerts, zones and trip replay, is on the fleet dispatch software page. If you are moving off a whiteboard or a shared sheet, read dispatch board or spreadsheet for chauffeur companies.

Chauffeur drive software for corporate and hotel accounts

Most chauffeur revenue is on account. A corporate client or a hotel concierge books through the client portal at the rates in its contract, a request that breaks a rule waits for an approver, and the client sees the live status of its own trips. At the end of the period the duties are invoiced under the contract with the client's credit days, and the client can open its invoices, statement and duty slips itself.

Paper duty slips are where chauffeur billing leaks. The chauffeur records the duty on the phone, the passenger or client approves it from a link sent by WhatsApp, SMS or email, and the invoice line carries the car, the chauffeur and the duty slip number. That flow is described under digital duty slip software for chauffeur services.

Limousine software in the Gulf, and what we do not claim

For the Gulf, see fleet and limousine software for the UAE and chauffeur and fleet software for Saudi Arabia, with city pages for Dubai, Abu Dhabi, Riyadh and Jeddah. Limousine companies in the Kingdom can read our plain-language guide to ZATCA e-invoicing for limousine companies.

MobilityDrive is not approved, certified or integrated with any transport regulator. Limousine permits and driver cards are tracked as documents with expiry dates and are not verified with an authority. Payment links through Stripe and PayTabs and SMS through Twilio and Unifonic are built to the providers' published APIs and are tested on your account during setup. The apps carry MobilityDrive branding; apps under your own brand are built to order and quoted separately. Indian plans are on the pricing page, and Gulf pricing is quoted on request.

Chauffeur and limousine software: frequently asked questions

What is limo software?

Limo software is the reservation and dispatch system of a limousine or chauffeur company. It takes reservations, assigns cars and chauffeurs, follows flights for airport pickups, keeps the passenger informed and bills the journey. MobilityDrive adds the duty slip, the tax invoice and the receivable to that.

Does MobilityDrive track flights for airport transfers?

Yes. Flights on your bookings are refreshed automatically through a flight data provider you configure with your own key. Dispatch is alerted when a flight is late, cancelled, diverted or landed and sees a recommended pickup time. Dispatch decides whether to move the duty.

Is there a passenger app?

Yes. The customer app lets a passenger book with a fare estimate, follow the car and approve the duty slip, and a tracking link works in any browser without an app. The apps are built: the Android apps are in Google Play review and the iPhone apps are not yet published.

Can it work as black car dispatch software for corporate accounts?

Yes. Corporate clients book in a portal at their contract rates with approval rules, dispatch allots the car and chauffeur with clash and document checks, and the duties are invoiced monthly under the contract with statements and ageing per client.

Can chauffeurs see client preferences?

Yes. Clients can be tagged and notes kept on the booking, and the chauffeur sees them with the duty in the driver app.

Does it support limousine operators in Dubai and Saudi Arabia?

Yes. A UAE company invoices in AED with 5% VAT and a Saudi company in SAR with 15% VAT, the apps and the admin console are available in Arabic and English, and local vehicle and driver documents are tracked with expiry alerts. There is no link to the RTA, the ITC or any other regulator.

How much does chauffeur software cost?

Published plans for operators in India start from 2,500 rupees a month for dispatch, with higher plans that add GST e-invoicing and corporate billing, plus a small per-duty charge. For the UAE, Saudi Arabia and the wider GCC we quote on request.
